Shared Connections

Create, configure, share, and assign account connections, then verify their tools and permissions as a regular user.

#Create and test a connection

  1. 01

    Open account Connections

    Use account or project administration rather than Personalization.

  2. 02

    Choose New Connection

    Select the project that should own and maintain the connection.

  3. 03

    Complete setup

    Follow the provider fields and sign-in shown in the UI.

  4. 04

    Test the connection

    Open it successfully and verify a small representative tool call before sharing it.

#Browse connections shared with the account

Shared Connections shows each connection’s owning project, type, discovered tool count, and last update.

    Open Connections

    Use account navigation to open Shared Connections.

  2. 02

    Search or sort

    Find a connection by name, owning project, type, tool count, or update time.

  3. 03

    Open a connection

    Choose its linked name to open the full connection editor without leaving the account list.

  4. 04

    Open its project when needed

    Use the project link or Open in Project when you need the owning project’s broader context.

#Open a shared connection’s configuration

Select Notion from Shared Connections to open this configuration. Review the complete editor before changing a setting; Save applies the edited connection, while closing the dialog leaves unsaved changes unapplied.

Opening Notion exposes the connection identity, account availability, integration source, and maintenance actions in one editor.

#Identity and source settings

Review a shared connection’s identity, source, account availability, export, and save controls together.

SettingWhat it controls
NameThe connection name shown in lists, workspace settings, and resource selectors.
IconThe visual marker used for the connection. Choose the icon button beside Name to change it.
DescriptionA short explanation of the service and intended use. Keep it specific enough for users choosing among similar connections.
URIThe stable BotDojo address for the connection. Edit the slug using lowercase letters, numbers, hyphens, and slashes; use the copy action when another screen needs the complete URI.
Integration SourceThe connected provider or source behind an integration connection.
Open IntegrationOpens provider-specific sign-in and connection details. The exact fields depend on the provider.

#Availability, sharing, and MCP export

SettingWhat happens
Enabled by defaultUsers and workspace agents with permission can discover and use the connection by default. Turn it off when they must explicitly enable it.
Share with accountMakes the connection available from other projects and personal workspaces in this account. It still must be assigned through account policy.
Export as MCPMakes the connection available to external MCP clients through an MCP server URL.
MCP Server URLAppears after MCP export is saved. Copy the URL or choose Get URL & Token when configuring an external client.

#Configure tools and approval behavior

Choose which discovered tools are enabled, then set whether each enabled tool is denied, asks for approval, or runs without another prompt.

ControlUse it for
RefreshDiscovers the connection’s current tools again and updates the displayed tool status and refresh time.
Tool PrefixAdds a prefix to each exposed tool name so agents and users can distinguish tools from different connections.
Enabled checkboxIncludes or excludes one discovered tool from this connection. A disabled tool is unavailable regardless of its approval setting.
Deny / Ask / AllowDeny blocks the tool, Ask requires approval for the call, and Allow lets a permitted agent call it without another approval prompt.
Deny All / Ask All / Allow AllApplies one approval level across the discovered tool list. Review exceptions afterward.
Reset to defaultsRemoves connection-specific approval overrides and returns to the provider defaults.
Custom Name / Custom DescriptionUse the pencil action on a tool to change the name or description presented to the agent. Reset removes that customization.
Advanced → Default ApprovalChooses the approval level automatically applied when newly discovered tools are added later.

#Save, archive, or close

ActionUse it when
SaveApply changes to identity, availability, sharing, export, tool configuration, or approval defaults.
CloseLeave the editor without applying unsaved edits.
ArchiveRemove a connection that should no longer be available. Verify consumers and shared assignments before confirming.

#Share the connection and assign it to a group

The connection must be shared, the user must belong to the intended group, and that group’s Resources policy must enable the Shared Connection. Tool-level permissions still determine whether each enabled tool is allowed, asks, or is forbidden.

The Resources policy grants selected shared connections and skill collections to members of the group.

    Enable Share with account

    Open the project-owned connection, enable the sharing control, and Save.

  2. 02

    Open account Groups

    Choose the group whose members should receive the connection.

  3. 03

    Choose Granular Policy Access

    Use the Resources policy type for account-shared resources.

  4. 04

    Enable the Shared Connection

    Turn on the intended connection while preserving unrelated resource settings.

  5. 05

    Verify membership

    Confirm every intended person belongs to the group.

#Verify as a regular user

  • Sign in as a member of the assigned group.
  • Confirm the connection appears where expected.
  • Start a new workspace or chat when inheritance requires it.
  • Make a small representative request and confirm the effective permission.
