#Understand the resource scopes

Personal resources and defaults belong to the user even when shared resources are also available through the account.

ScopeWhat it means
Personal resourceBelongs to the user, such as a personal connection or My Skills collection.
Shared resourceIs made eligible for account use by its owner or administrator. Sharing does not automatically grant every user access.
Group assignmentGrants selected shared resources to the members covered by that group policy.
Workspace overrideNarrows or changes the effective access used by work in one Workspace.

#Follow the access chain

A shared resource reaches a user through account sharing, group policy, membership, and effective Workspace access.

    Confirm ownership

    Identify the personal user or project responsible for maintaining the resource.

    Confirm sharing

    Verify that an account resource is marked as shared before trying to assign it.

  3. 03

    Confirm group policy

    Enable the resource for the intended group under its Resources policy.

  4. 04

    Confirm membership

    Verify that the intended user belongs to the group.

  5. 05

    Confirm effective access

    Open the user’s Personalization and Workspace Access views to check defaults and Workspace overrides.

#Give each task only the access it needs

A user may have access to many resources without every Workspace or Scheduled Task needing all of them. Apply the smallest useful connection, tool, and Skill set, then verify the exact context that will perform the work.

Workspace and unattended-task access should contain only the resources required for the intended outcome.
